Love at First Invoice: Get the Basics Right

Before we even talk about reminders and automation, let’s talk about first impressions. A confusing invoice is like a date who won’t answer basic questions.

Your invoice should clearly say:

  • Who it’s from
  • Who it’s for
  • What the client is paying for
  • The invoice date and due date
  • The total amount owing
  • GST/HST clearly broken out (hello, CRA 👋)

Nothing kills payment speed faster than “Can you resend that?” or “What was this for again?”

Roses are red, Invoices should be clear, Confusion delays payment

And invites more fear.

Set the Terms (Yes, Before the First Date)

One of the biggest A/R issues I see is businesses with no clearly defined payment terms. Or worse — terms that live only in someone’s head.

If clients don’t know when payment is expected, they’ll assume “whenever.” And “whenever” is not a cash flow strategy.

Clear payment terms aren’t aggressive. They’re respectful. They tell clients how to work with you successfully.

Think of it as setting boundaries, but with fewer feelings and more numbers.

Automate Your Reminders (Because You Have a Life)

Let’s address the blog’s central love story moment:

Stop waiting by the phone. Automate your payment reminders.

Modern accounting software will:

  • Send reminders before the due date
  • Send reminders on the due date
  • Send polite nudges after the due date

All without you drafting emotional emails at 9:47 p.m.

Automated reminders are neutral, professional, and effective. Clients don’t feel personally chased, and you don’t feel personally rejected. Everyone wins.

Make Paying You Ridiculously Easy

If paying your invoice requires effort, guess what happens?

It gets postponed.

The more payment options you offer, the faster you tend to get paid. Think:

  • E-transfer (very Canadian, very effective)
  • Credit card payments
  • Direct payment links embedded in the invoice

When clients can click and pay in under two minutes, procrastination has nowhere to hide.

From a professional bookkeeping perspective, friction is the enemy of cash flow. Reduce friction, improve romance.

Invoice Promptly (Strike While the Love Is Warm)

Sending invoices weeks after the work is done is like texting someone long after the date and hoping they still feel the spark.

They don’t.

The closer the invoice is sent to the completion of work, the faster it gets paid. Clients still remember the value. Budgets are still open. Motivation still exists.

Delayed invoicing leads to delayed payment. Every time.

Be Consistent (Ghosting Goes Both Ways)

Inconsistent invoicing creates confusion and trains clients to deprioritize you.

If invoices sometimes come monthly, sometimes randomly, and sometimes not at all, clients don’t know what to expect. Predictability builds trust — and trust builds faster payment habits.

And yes, clients absolutely sense that.

Review Your A/R Regularly

Accounts receivable should not be a surprise.

Set a regular rhythm — weekly or biweekly — to review:

  • Who owes you money
  • How long invoices have been outstanding
  • Which clients are chronic late payers

When you review regularly, issues stay small. When you don’t, they become awkward conversations months later.

Know When to Escalate (Politely, Professionally)

Most invoices get paid with reminders. Some need a human touch.

A friendly, professional email after a certain point is reasonable. Clear language, calm tone, and firm expectations go a long way.

You’re not accusing. You’re clarifying.

And if a client repeatedly ignores invoices? That’s not a cash flow problem — that’s a client relationship problem.

Final Love Letter from Your Professional Bookkeeper 💌

Getting paid faster isn’t about being pushy. It’s about systems, clarity, and consistency. When invoicing is smooth and predictable, cash flow stabilizes and stress levels drop.

So, stop waiting by the phone. Automate the reminders. Clarify the terms. And let your invoices finally feel the love.

Because nothing says “I care about my business” quite like money arriving on time.
